We encountered multiple operational and technical challenges while building a dynamic platform, requiring practical solutions to ensure performance, usability, and scalability.

Designing for 9 Different User Types
Problem
We needed to create interfaces for 9 different user roles - from agency admins to resources to clients. Each role had different needs and different levels of technical skills.
Solution
We created custom dashboards for each user type. Agency admins got workspace management tools, operations teams got scheduling features, and resources saw their job assignments. We tested with real users to make sure each interface felt natural for its audience.

Accurate Location Tracking
Problem
Resources needed to check in at event locations, but GPS accuracy can be poor in some areas. We also needed to make sure the app didn't drain their phone battery too quickly.
Solution
We built a smart location system that uses GPS, Wi-Fi, and cell towers together. This gives us 15-meter accuracy while being smart about battery usage. The app also works offline and syncs data when connection is restored.

Handling Multiple Sessions Same Day
Problem
Halfway through the project, the client needed a new feature - supporting both training and work sessions on the same day with different pay rates. This was tricky because everything was built for single daily
Solution
We redesigned the session system to allow unlimited sessions per day. Each session has its own timing, rates, and attendance tracking. We added smart validation to prevent scheduling conflicts and made the interface clear enough to manage multiple sessions easily.

Real-Time Updates for Everyone
Problem
Hundreds of users needed to see schedule changes, job offers, and updates instantly on both web and mobile. All this needed to work smoothly across different time zones without delays.
Solution
We used WebSocket technology for instant messaging between servers and devices. Combined with smart caching and optimized database queries, updates now appear on all devices in under a second.

Understanding What Client Really Wanted
Problem
The client loved features from platforms like Zoho Workerly, InitLive, Event Staff App, and Live Force. But they weren't sure exactly which features they needed and which they didn't. This created confusion about what we were actually building.
Solution
We organized feature comparison workshops where we mapped out everything from each platform. Then we created simple prototypes to show the client exactly how each feature would work. This helped them decide what was essential and what could wait for later versions.

Design Took Too Long to Approve
Problem
Getting design approval became a bottleneck. The client needed to see multiple design variations before making decisions, and sometimes feedback changed after seeing the first implementation. This slowed down our timeline.
Solution
We switched to smaller, focused design reviews instead of presenting everything at once. We also built interactive prototypes in Figma so the client could actually click through and experience the design before we coded anything. This made approvals much faster.
